The day an AI system goes live is usually the high point. Stakeholders are excited. The team that built it feels accomplished. There’s a sense of completion — the project is done.

Except it isn’t.

Launching an AI system is closer to opening a restaurant than building a bridge. A bridge, once constructed, largely takes care of itself. Setting thresholds that trigger alerts when performance drops below acceptable levels. Reviewing outputs regularly to catch quality issues before they compound.

Data pipeline maintenance

Keeping the data feeds that power the AI system healthy. Monitoring for data quality issues — missing fields, format changes, latency problems, source system changes that break extraction logic. Updating data transformation rules as business systems evolve.

Model retraining

Periodically retraining or fine-tuning the AI model on fresh data to counteract drift. This isn’t a rare event — for systems operating in dynamic business environments, quarterly or even monthly retraining cycles may be appropriate. The frequency depends on how fast the underlying patterns change.

Feature evolution

Expanding what the AI system can do based on real-world feedback. The first version of any AI system is a starting point. Once it’s in production and people are using it, the highest-value improvements become obvious. Maybe the system needs to handle a new document type. Maybe the escalation logic needs refinement. Maybe users need a different interface for a specific workflow.

This kind of iterative improvement is where AI systems really start to deliver outsized value. Each enhancement compounds — the system gets more capable, more trusted, and more deeply embedded in operations.

Incident response

When an AI system produces a bad output — sends an incorrect communication, misclassifies a document, makes a wrong recommendation — the response needs to be fast and structured. Root cause analysis. Immediate mitigation. A fix that prevents recurrence. Communication to affected stakeholders.

Without a support structure, incidents get handled ad hoc, slowly, and inconsistently. With one, they become opportunities to make the system stronger.

The Cost of Neglecting Post-Launch Support

Companies that don’t invest in ongoing support often don’t realise the cost until it’s significant.

How to Build Support Into Your AI Strategy

The time to plan for ongoing support is before the project starts, not after launch.

Budget for it explicitly. A reasonable rule of thumb: allocate 15-25% of the initial implementation cost annually for ongoing support and optimisation. This covers monitoring, maintenance, retraining, and incremental improvements.

Define ownership clearly. Someone needs to be responsible for the AI system’s performance after it goes live. This might be an internal team, an external partner, or a combination. What matters is that the responsibility is explicit and someone is actually watching.

Establish monitoring from day one. Build performance tracking into the system architecture, not as an afterthought. Define the metrics that matter, set up dashboards, create alerting rules.

Plan for iteration. The first version won’t be perfect. Build your project timeline with explicit checkpoints for reviewing performance, gathering feedback, and implementing improvements. The first three to six months after launch are typically the most critical.

Choose partners who stay. If you’re working with an external AI implementation partner, evaluate their post-deployment support model carefully. The firms that deliver the best long-term results are the ones that remain engaged after launch — monitoring, optimising, and evolving the system alongside your business.
